This Privacy Policy explains how AZTools (“we”, “us”, “our”) collects, uses, shares and protects personal data when you visit aztools.me, create an account, or use our online tools platform (the “Service”). It applies to visitors, registered users and anyone who contacts us. By using the Service, you acknowledge this Policy.

1. Scope

AZTools is a web-based productivity platform that lets you enable modular tools (notes, tasks, forms, email marketing and more), organize dashboards, share content publicly where you choose, and integrate via API.

This Policy covers personal data processed through our website, web application, customer support and billing flows. It does not cover third-party websites or services you connect through your own API keys (for example your AI provider or email SMTP), except where we act as a processor forwarding requests on your instructions.

2. Data controller & contact

AZTools is the data controller for personal data described in this Policy.

3. Information we collect

We collect information you provide, information generated through your use of the Service, and limited technical data necessary to operate securely.

Categories include:

  • Account data: email address, display name, password (stored as a secure hash), profile image if you sign in with Google or upload one, language preference, onboarding and plan status.
  • Content you create: notes, tasks, forms, quizzes, files and images you upload, board layouts, tool settings, API keys you generate (we store identifiers and hashed secrets — not plaintext keys after creation), public share link metadata, and email campaign content stored in your workspace.
  • Usage & billing data: enabled tools, quota consumption (storage, API calls, AI message counts), subscription status, billing provider customer/subscription IDs, invoices metadata, and payment outcome — we do not store full payment card numbers.
  • Technical & security data: IP address, browser type, device information, session and authentication tokens, server and error logs, timestamps, and anti-abuse signals.
  • Support communications: messages you send to support@aztools.me and related correspondence.

4. How we use information

We use personal data only where we have a valid legal basis (see Section 5). Primary purposes include operating the Service, billing, security, support, product improvement and legal compliance.

We do not sell your personal data. We do not use your workspace content to train public AI models.

  • Providing and maintaining the Service — authentication, syncing your content, enforcing plan limits, delivering features you enable.
  • Processing subscriptions and payments through our payment processor.
  • Securing the platform — fraud prevention, abuse detection, troubleshooting and incident response.
  • Communicating with you — service announcements, billing notices, support replies, and (where permitted) product updates.
  • Improving the Service — aggregated or de-identified analytics to understand performance and usage patterns.
  • Complying with legal obligations and enforcing our Terms of Service.

5. Legal bases (EEA, UK & similar regions)

If you are in the European Economic Area, United Kingdom or another jurisdiction that requires a legal basis, we rely on:

  • Performance of a contract — to provide the Service you signed up for, including account management and paid features.
  • Legitimate interests — security, fraud prevention, improving the Service, and limited product communication, balanced against your rights.
  • Consent — where required (for example optional marketing emails or non-essential cookies, if enabled).
  • Legal obligation — tax, accounting, or requests from competent authorities where applicable.

6. How we share information

We share personal data only as described below. We require service providers to process data on our instructions and under appropriate safeguards.

  • Payment processing: Lemon Squeezy (or another processor we designate) receives billing and customer data needed to charge your subscription. Their privacy policy governs payment data they control.
  • Authentication: If you use Google sign-in, Google processes data according to its policies; we receive profile information you authorize.
  • Infrastructure providers: Cloud hosting, database, object storage and email delivery vendors that host or transmit data on our behalf.
  • Legal & safety: When required by law, court order, or to protect rights, safety and integrity of users and the Service.
  • Business transfers: In connection with a merger, acquisition or sale of assets, subject to continued protection consistent with this Policy.

7. AI assistant & email (bring your own key)

Some features let you connect your own AI provider credentials or email SMTP/API settings (“BYOK”). When you use these features, we transmit prompts, content you choose to include, and delivery instructions to the providers you configured.

Those providers process data under their own terms and privacy policies. We store your credential configuration securely to operate the feature; we do not use your BYOK content to train our models. You are responsible for ensuring you have a lawful basis to send content to third-party AI or email providers.

8. Public sharing

If you create public links (for forms, quizzes, notes or similar), anyone with the link may access the content you chose to publish. Public content is not password-protected unless the tool provides that option.

You are responsible for what you share publicly and for complying with laws that apply to your audience (for example consent for personal data in forms).

9. International data transfers

AZTools operates globally. Your data may be processed in countries other than where you live, including where our infrastructure providers are located.

Where required, we implement appropriate safeguards for cross-border transfers (such as Standard Contractual Clauses or equivalent mechanisms). Contact us if you need more information about safeguards for your region.

10. Data retention

We retain personal data while your account is active and as needed to provide the Service.

If you delete content or disable a tool, we remove or anonymize it within a reasonable period unless we must keep copies for backup, legal compliance or dispute resolution. Backups may persist for a limited time before rotation.

After account deletion, we delete or anonymize personal data within a reasonable timeframe, except where retention is required by law (for example billing records).

11. Security

We use administrative, technical and organizational measures designed to protect personal data, including encryption in transit (HTTPS/TLS), access controls, and hashed storage for passwords and API secrets.

No method of transmission or storage is completely secure. You are responsible for keeping your password confidential and rotating API keys if you believe they were compromised.

12. Your privacy rights

Depending on your location, you may have rights to access, correct, delete, export, restrict or object to certain processing of your personal data, and to withdraw consent where processing is consent-based.

You can update profile information in Settings. For other requests (access, deletion, portability), email support@aztools.me. We may verify your identity before fulfilling requests.

If you are in the EEA or UK, you may lodge a complaint with your local data protection authority. We encourage you to contact us first so we can address your concern.

California residents: we do not sell personal information. You may request disclosure or deletion subject to applicable exceptions under the CCPA/CPRA by contacting us.

13. Children

The Service is not directed to children under 16 (or the minimum age required in your country). We do not knowingly collect personal data from children. If you believe a child provided us data, contact support@aztools.me and we will take appropriate steps to delete it.

14. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the revised version on aztools.me/privacy and update the “Last updated” date. For material changes, we may notify you by email or in-app notice where appropriate.

Continued use of the Service after changes take effect constitutes acceptance of the updated Policy, unless applicable law requires otherwise.
